An Annual General Meeting (AGM) is a yearly gathering where a company's shareholders and board of directors meet to discuss important aspects of the company. At the AGM, the directors present an annual report to update shareholders on the company's performance, strategy, and management.

All shareholders must be notified of the format, date, time, and place of the meeting. How far in advance notices should be distributed may depend on your state, but generally, they should be sent out more than 10 days prior to the meeting, but less than 60 days.

A meeting notice should include the following key details: Name and contact information of the meeting chair. Name and role of the sender of the meeting notice. Names and roles of all the invitees. Type of meeting — regular, annual, or special. Date, time and location of the meeting (the notice should also be dated)

In general, companies require a letter or similar notification from investors having a sufficient number of shares, demanding a special meeting and stating the purpose for that meeting. The company can then set the date for the meeting, typically within a 30 to 90 day time period after receipt of the demand.
