The Freedom of Information Act (FOIA) provides public access to all federal agency records except for those records (or portions of those records) that are protected from disclosure by any of nine exemptions or three exclusions (reasons for which an agency may withhold records from a requester).
Any person, not just citizens of Texas, can request public information. A statement of purpose is not required nor is there a law on how the records can be used. The Texas Public Information Act allows 10 days for a response to public record requests.
The Comptroller's office encourages you to submit a request using the FYI tool. Other options include submitting the request by email to open.records@cpa.texas, by mail, fax or in person, ing to a governmental body's reasonable procedures.
How to write a letter asking for information Consider the purpose of your request and create an outline. Begin by introducing yourself and your credentials. Discuss the organization or committee that you represent. Highlight how the information could contribute to a project or initiative.
Dear Sir/Madam: This is a request under the Freedom of Information Act. I request that a copy of the following document(s) be provided to me: identify the documents as specifically as possible. i.e. all investigative records concerning ABC company, located at 555 Main Street, City, State, in the years 1997-1999.
Requestors do not have to mention FOIA. You should refer to section 8 of FOIA when determining whether a request is valid or not. To be valid it must be in writing, it must state the requestor's real name, include an address for correspondence and it must also offer a clear description of the information requested.
Dear custodian of records: I am requesting access to records in possession or control of the insert government entity for the purposes of inspection and copying pursuant to the California Public Records Act, California Government Code § 7920.000 et seq.
Sample Letter of Request Dear Recipient's Name, I hope this letter finds you well. I am writing to kindly request state your request and seek your assistance in this matter. Provide a brief introduction explaining your background and the purpose of your request.
A FOIA request can be made for any agency record. You can also specify the format in which you wish to receive the records (for example, printed or electronic form). The FOIA does not require agencies to create new records or to conduct research, analyze data, or answer questions when responding to requests.
