FAQ

If you discover an error on a previously filed Form 941 or need to amend a Form 941, you would correct using Form 941-X, Adjusted Employer's Quarterly Federal Tax Return or Claim for Refund. This is filed separately from Form 941.

California: Internal Revenue Service, PO Box 802501, Cincinnati, OH 45280-2501.

The IRS has released changes to Form 941 for the 2024 tax year. There are a few changes to Form 941 that employers should be aware of before filing Form 941. The Social Security wage base limit has been updated for 2024. The revised instructions indicate the removal of COVID-19 credits.

Form 941 records payroll tax liability and deposits. These forms are filed quarterly in ance with the IRS laws and regulations. The IRS uses these forms to reconcile federal tax deposits that each employer makes. If you find that you have filed a 941 with errors, you can amend the filing with a Form 941-X.

Form 941-X is used to correct any errors made on an IRS Form 941 form that's already been filed. This would include business information, such as an EIN or business address, and any amounts indicated on the form (employee wages, income tax withheld from wages, etc.).

When you discover an error on a previously filed Form 941, you must: Correct that error using Form 941-X; File a separate Form 941-X for each Form 941 that you're correcting; and. Generally, file Form 941-X separately. Don't file Form 941-X with Form 941.

If you made an error that requires a Form IL-941-X and you made the same reporting error on your return and your employee's Form W-2 or payee's Form 1099 or W-2G, you must also provide your employee or payee with a Form W-2c or corrected Form 1099 or W-2G, and attach copies to your Form IL-941-X.

If the actual amount withheld is less than the employee portions calculated in Step 1, then enter a negative adjustment on Form 941, line 7 or Form 944, line 6. If the actual amount withheld is more than the employee portions calculated in Step 1, then enter a positive adjustment on Form 941, line 7 or Form 944.

If the amount under/over withheld is deemed too excessive, the IRS can send a lock-in letter notifying the employer how to adjust withholding regardless of the employee's W4 requests. If a W-4 error is caught before filing, individuals can correct this relatively easily by refiling a W-4 with their employer.
