The numbers zero to nine must be written out while numbers having double figures should be written as numerals. For example, if the interviewee says his company signed two contracts, then it can be transcribed as 'two contracts. ' But if he says ten contracts, it should be transcribed as '10 contracts'.

Abbreviations should be transcribed ing to the original text, i.e. not expanded. This includes historical abbreviations and abbreviations which are still used today (such as titles and salutations). Et Ceter. Like ?and,? the phrase ?et cetera? is often shortened to save time and space within a document.

Use only conventional (standardized) contractions when transcribing (such as ?aren't?, ?isn't?, ?you're?, ?they're?, ?I'm?, etc.). If it can be typed with a standard apostrophe, you can use that contraction. Do keep ?ain't? as well as some not-so-standardized contractions such as ?what'd?, ?Mommy'll?, ?what'll?, etc.

The most common file types used for transcription are . txt (Plain Text), . doc (Microsoft Word), and . pdf (Adobe PDF).

Italics in square brackets are used to spell out a word that is either abbreviated and illegible or missing in the document if the transcribers are certain of the intention. Three ellipsis dots in square brackets indicate illegible and unknown words or letters.

These labels can be the speaker's name, their role in the conversation, or a generic label such as 'Speaker 1'. Only when the speaker or their role cannot be identified is it appropriate to use a generic label. It's helpful to listen to the audio to determine the speakers and their roles before transcription begins.

Clearly labeling speakers provides the reader the information to understand who said what. Speaker names must be formatted in all capitals, followed by a colon. The dialogue should appear on the next line.
