Bates numbers (bates stamps, bates labels) are numbers used to uniquely identify pages within a set of documents. Bates numbers are used in almost all law firms as an agreed-upon method between parties to ensure a common naming convention when referring to given pages.

Bates Numbers typically have a prefix or suffix. For example, a paralegal might label the first page of Mr. Smith's case file with 0001/SMI. The first part of the series tracks the page number, while the second element remains constant and represents the client's last name.

Bates stamping is the process of applying a set of identifying numbers to a document collection of PDFs to label and identify them. You can use DocPreviewer to apply a Bates stamp to documents — even if you don't import them into a case spreadsheet.

Important Bates stamps applied from other PDF programs or created with other tools may not be recognized by the program. You should visually confirm stamp removal. Select Edit > Insert > Bates Numbering > Remove to permanently remove Bates numbers from currently open files.

Bates numbering has been used for well over a century. It gained its name from the Bates Automatic Numbering-Machine, patented in the 1890s by Edwin G. Bates. This sequential-numbering stamp was used to manually mark each page in a record.

Place the cursor in the box labeled “Right Footer Text.” 6. Click “Insert Bates Number.” The system will default to inserting 6 Digits and start at number one. Click “Ok.” 7. Click “Ok” a second time and the document will now be numbered sequentially.

Select Edit > Insert > Bates Numbering and select Add from the drop-down list to open the Add Bates Numbers dialog box. Click Add Files. The Open dialog box appears. Select one or more files to add them to the numbering queue.

Choose Tools > Edit PDF. The Edit PDF toolset is displayed in the secondary toolbar. In the secondary toolbar, choose More > Bates Numbering > Add. In the Bates Numbering dialog box, click Add Files, and choose Add Files, Add Folders, or Add Open Files.
