- From the Menu Bar, select New Transaction. The Select Transaction screen will display. From the ‘Select Transaction’ drop-down menu, select 07-Demotion. A new, blank Employee ID field will appear. Type the employee’s Employee ID number.
- If the Employee ID number is not known, press the LOOK UP button. An Employee ID Lookup Window will open. Search by entering the employee’s Social Security Number in the appropriate field, ensuring no dashes or spaces are used. Alternatively, you can enter the employee's last name (and optionally their first name) to narrow down the search.
- Click the SEARCH button. A list of employee records will display. In the SELECT column, click the box next to the desired employee to proceed.
- The system defaults the effective date for the transaction to the current date. If this date is accurate, click SUBMIT; if not, select the appropriate date from the calendar and click SUBMIT.
- If the employee holds multiple jobs, a table will appear listing each job. Select the appropriate job by clicking the Select column next to it.
- On the Demotion screen, the CURRENT section fields will auto-populate with the employee’s most recent employment data. These fields are not editable.
- Fill in the required fields: Appointment Type, Title Code, Compensation Method, Request Reason Code, and Essential Employee. Note that additional fields may become necessary based on the Appointment Type chosen.
- Complete further required sections based on the Appointment Type and reason for demotion as detailed in the document. Make sure to review each field carefully for accuracy.
- Once all necessary fields are filled out, choose one of the following options: 'SUBMIT' to validate and submit the data, 'SAVE' to keep the transaction as incomplete for later review, or 'CANCEL' to discard the transaction.
