- From the menu bar, select New Transaction. The Select Transaction screen will display. From the ‘Select Transaction’ drop-down menu, select 07-Demotion. A new, blank Employee ID field will appear.
- Type the employee’s Employee ID number in the provided field. If the Employee ID number is unknown, click the LOOK UP button. An Employee ID Lookup window will open.
- To search by Social Security Number, type the employee’s SSN in the EMPLOYEE SSN field. Dashes and spaces are not permitted. Alternatively, to search by name, type the employee's last name in the LAST NAME field. You may also enter the first name to narrow your search.
- Click the SEARCH button. Select the desired employee from the displayed records by clicking the checkbox next to their name.
- Confirm the Effective Date, which defaults to the current date. If it is correct, click SUBMIT. If not, open the calendar and select the correct date, then click SUBMIT.
- If the employee holds multiple jobs, select the appropriate job from the displayed list.
- The Demotion screen will display automatically populated fields in the CURRENT section. Required fields include Appointment Type, Title Code, Compensation Method, Request Reason Code, and Essential Employee.
- For each required field, provide the necessary input based on the specific instructions for Appointment Type, Title Code, and other relevant fields.
- Review all entries for accuracy. Upon completion, users can choose to SUBMIT the form to move it to inventory with a status of 'New', SAVE for later completion, DELETE if necessary, or CANCEL to return to the home page, discarding all entries.
- Lastly, check the appropriate boxes for any additional documentation or confirmation as required based on the selected Request Reason Code before final submission.
