How to fill out the Hourly Timesheet Instruction online
Filling out your hourly timesheet accurately is essential for ensuring timely payment and proper recordkeeping. This guide will walk you through the process of completing the Hourly Timesheet Instruction online with clear steps for each section of the form.
Follow the steps to accurately complete your hourly timesheet online.
- Click the ‘Get Form’ button to access the hourly timesheet form, which you will be able to open in your preferred editor.
- Once you have the workbook open, verify the pay period by selecting the appropriate tab located at the bottom of the screen. Each tab corresponds to a specific biweekly pay period. Make sure to select the correct one that matches your work dates.
- Upon selecting the relevant tab, check the 'Pay Period' dates displayed in the upper right corner of the timesheet to confirm you have the correct sheet for entry.
- Input your identifying information at the top of the timesheet including your name, employee ID number, record number, weekly authorized hours, department, and department ID number. This data will automatically populate subsequent timesheets in the workbook.
- Do not enter any numbers into the 'Total Daily Hours' column as these will be calculated automatically based on your daily 'In' and 'Out' times and the weekly authorized hours you entered previously.
- Use the 'Work Time Calculator' to enter your working hours. The calculation relies on the 'In' and 'Out' times you will input for each day.
- Ensure your time entries are in the correct format, which must be 'XX:XX AM' (e.g., 8:00 AM). Remember that a critical space is required after the minutes. Also, round your entries to the nearest quarter hour: for instance, 7:59 AM should round to 8:00 AM, whereas 8:07 AM also rounds down to 8:00 AM, while 8:08 AM rounds up to 8:15 AM.
- The automatic Overage and Overtime Hours Calculator will categorize your hours into Regular Hours, Overage Hours, and Overtime Hours. Ensure that your weekly hours do not exceed the 'Weekly Authorized Hours' to avoid incorrect categorization.
- After you have completed the timesheet, print the document. It must then be signed by both you and your supervisor before submission.

The 7-minute grace period acts as a buffer for employees arriving late to work or logging off early. If you clock in or out within 7 minutes of your scheduled time, it typically does not count against you, promoting workplace flexibility. This grace period can significantly ease scheduling pressures, making it easier to manage your hours on an hourly timesheet. It’s essential to understand how this functions within your specific company’s policies.
