Indirect approach. When the bad news may have a significant impact on the recipient or you don't know them very well, you may prefer to use the indirect approach. Figure 4.11. 2 shows an example of a bad news message delivered using this approach.

In direct emails, the main point goes at the beginning, followed by details, explanations or evidence supporting it. An email organized this way saves the reader time by getting to the purpose of the message right away. It also helps the reader put the details that follow in context and perspective.

Be clear and concise in order not to require additional clarification. Help the receiver understand and accept the news. Maintain trust and respect for the business or organization and for the receiver. Avoid legal liability or erroneous admission of guilt or culpability.

Indirect messages refers to use of messages which do not reveal the content in a straight forward manner but rather a soft approach. People use indirect messages in order to sound softer especially when relaying bad or hard news.

Direct Approach. When you use the direct approach, the main idea (such as a recommendation, conclusion, or request) comes in the "top" of the document, followed by the evidence. This is a deductive argument. This approach is used when your audience will be neutral or positive about your message.

The direct approach places the negative news at the beginning of the message, while the indirect approach packages the negative news between a positive introduction, sometimes called a buffer or cushion, and a conclusion. Your negative message may include the rationale or reasons for the decision.

The direct approach is used for good news or routine communication; the indirect approach is used for persuasive, sales, or bad news messages. A directly stated purpose is welcome in good news or routine messages, but could be viewed as abrupt or insensitive in a bad news or persuasive message.
