Fax machines scan a document, treating the text and images as a single fixed graphic image and converting it into a bitmap. In this digital form, the information is transmitted as electrical signals through the public switched telephone network (PSTN), using a standard analog telephone line.

Most faxes (and scanners, copiers, and malfunction units) require the user to put the document into the scanner either face up or face down. There is no industry standard for the direction, and even the same manufacturer may have different systems across their product lines.

When loading a document on the platen glass, the side to be scanned should be face down.

When sending a fax, include a cover sheet indicating the date and time sent; the recipient's name and fax number; and the sender's name, organization and phone number. The fax cover sheet should NEVER include a patient's name or any other PHI. 2. Include a privacy statement in the fax cover sheet.

Receiving a fax can take varying amounts of time, depending on a few different factors. Generally, it can take anywhere from half a minute to 3 minutes for a fax to be received. However, if the sender is using an older fax machine or there are some problems with the phone line, it may take longer than that.

Face Down. When you insert the document you want to fax with the printed side toward the machine, the document's text and graphics are face down against the tray. The fax machine then pulls the document down the tray and scans the document's content.

Faxes of confidential information are particularly vulnerable to interception, and in principle confidential, clinical or personal information must not be sent by fax.

If you're scanning a multiple-page document, make sure to place each page face-down on the scanner bed before scanning it. This ensures that the pages are all scanned in the correct order, minimising any confusion. Once you've placed the document on the scanner bed, make sure to close the scanner's lid.

The paper will be scanned, so if the paper is facing the wrong way only the back side will be scanned, and the fax you send will be blank. Ensure that the papers a facing the right side up before sending the fax.
