What is Bates Numbering? Bates Numbering is a helpful method for organizing documents that need identification. Medical, legal, and commercial institutions use Bates Numbering to process a large amount of documents. Bates Numbers are added to PDF files in the header and footer to identify pages.

Bates numbers (bates stamps, bates labels) are numbers used to uniquely identify pages within a set of documents. Bates numbers are used in almost all law firms as an agreed-upon method between parties to ensure a common naming convention when referring to given pages.

The Bates prefix is specified with at least one letter and up to six letters and sequential numbering with seven digits, starting 0000001, unless otherwise instructed at or prior to time of job commencement. The Lexbe eDiscovery Platform (LEP) does not allow Bates Stamping without a prefix.

If you set the start page number to 1000, then a citation on page 1 of the document will appear as "at 1000", a citation to page 2 will appear as "at 1001", and so on. Second, you can add a prefix to the citation. This is very common when documents are Bates labeled. Page 1 may be stamped as "DEF00001".

For example, if XYZ company produces 25,000 pages to an opponent, it may Bates number the production "XYZ_000001 - XYZ_025000." Some lawyers refer to Bates numbers as Bates stamps because at one time the numbers were physically stamped on each page.

Bates numbering is a method of sequentially numbering pages with a reference identifier to make them easier to locate and reference. This could be as simple as sequential numbers like ?0001? and ?0002,? or it may include alphanumeric strings (such as ?ABC_0001? and ?ABC_0002?).

Click on ?Tools? at the top left side of the PDF document. 3. Locate ?Stamp? under Review and Approval and click ?Add? and ?Open.? 4. At the top right of the page, you will find a ?Bates Numbering? drop down.

The Board strongly encourages briefs and accompanying exhibits to be sequentially numbered, also known as Bates Numbering. Bates Numbering can either be done within the PDF itself starting at the first page of the document or it can be handwritten at the bottom right hand corner of the page.
