Forms filed annually with a due date of January 31 File Forms W-2, Wage and Tax Statement, with Form W-3, Transmittal of Wage and Tax Statements, with the SSA to report wages paid and employment taxes withheld from these wages during the previous tax year.

January 31st is the deadline to file W-2s using Business Services Online or to submit paper Form W-2. If this date falls on a Saturday, Sunday, or legal holiday, the deadline will be the next business day. January 31st is the deadline to distribute Forms W-2 to employee(s).

If you do not receive your Form W–2 by the end of January, you should contact your Personnel/Payroll Office. You will not be eligible for a fee waiver if you chose to receive your Form W-2 electronically through Cal Employee Connect.

The SSA has increased the social security wage limit from $160,200 to $168,600 for the tax year 2024. Therefore, you must ensure the following when completing W-2. The total of Box 3 (Social Security wages) and Box 7 (Social Security Tips) should not exceed $168,600.

Penalties range from $60 to $630 per form for the 2023 tax year and are usually based on when the correct Form W-2 is filed after the missed deadline. In other words, there are specific dates business owners must be aware of. The following penalties apply to the 2023 tax year.
