When Should Your Business Receive a W9 Form from Vendors? Businesses should receive a W9 from vendors when the vendor is new and again whenever the supplier's Form W-9 information changes.

A W-9 form is not required yearly as it has no expiration date. It remains valid as long as the information on it is accurate. You may only request a new one if the vendor changes or updates any information.

Organizations may want to update the W-9 form for each vendor or payee annually or whenever there is a change in the vendor's or payee's information. This includes changes to the vendor's or payee's name, address, taxpayer identification number (TIN), or withholding requirements.

Does the IRS Form W-9 Expire? The short answer is no. Unlike the IRS instructions on the expiration of the IRS W-8 forms (December 31st of the 3rd year), there is no verbiage in the W-9 Instructions that indicate that the form expires.

The W-9 can be downloaded from the IRS website, and the business must then provide a completed W-9 to every employer it works for to verify its EIN for reporting purposes.

Forms W-9 previously collected by a withholding agent do not expire or need to be refreshed. A draft version was previously published by the IRS in 2023 (see Tax Alert 2023-1374).
