Usually, the organisation asking for the reference will provide a standard reference request form for you to complete, including all the information they need. This can be completed by the appropriate person, if they feel able to do so.

Be Respectful: Tell the individual you would like to talk to them about your organization and the possible involvement. Ask for their permission (Would this be a good time to talk with you…or is there a better time… I will need approximately 15 minutes of your time). Be Positive: Be upbeat when approaching them.

Simply send a cordial email or place a call during business hours to the contact person for that volunteer position. Let him or her know that you've sent in an application letter and that you wanted to formally express your interest in the opportunity to be a part of the organization.

Your volunteer form should include some basic information about your organization, what programs and services you offer and the role volunteers play. You'll also want to provide some brief examples of your volunteer positions, along with information on what type of commitment you need from your applicants.

A good response: “I would love to volunteer with your organization because I share similar values in wanting to protect the environment, and I believe that focusing on reducing waste is a great place to start. I'm also looking forward to getting more involved with the local community and meeting like-minded people.”

When you know who you wish to offer your services to, you can write a letter asking to volunteer by explaining your reasons for volunteering, expressing interest in a particular volunteer position, and discussing the ways in which your skills and experiences can benefit others.

The body of your email is where you provide the clear and specific details of your volunteer opportunity. You need to explain what the opportunity is, what the tasks and responsibilities are, what the time commitment and location are, what the qualifications and requirements are, and what the training and support are.
