Each page had to be hand stamped with the Bates Stamper in order to index the page with a four-digit sequence. Fortunately, with the transition from paper to electronic documents, this manual method was phased out.

While the original Bates stamps only used numbers (up to a maximum of 9999), there is no set format for Bates numbering. It may be purely numeric or alphanumeric. Either way, Bates numbering is essentially a paper-based method, most useful for printed productions or page-based images.

Bates numbers (bates stamps, bates labels) are numbers used to uniquely identify pages within a set of documents. Bates numbers are used in almost all law firms as an agreed-upon method between parties to ensure a common naming convention when referring to given pages.

Bates numbering is a method of indexing legal documents for easy identification and retrieval. Each page of each document is assigned a unique Bates number that also indicates its relationship to other Bates-numbered documents. Bates numbers appear as headers or footers on the pages of each PDF in the batch.

For example, if XYZ company produces 25,000 pages to an opponent, it may Bates number the production "XYZ_000001 - XYZ_025000." Some lawyers refer to Bates numbers as Bates stamps because at one time the numbers were physically stamped on each page.

Bates Numbers typically have a prefix or suffix. For example, a paralegal might label the first page of Mr. Smith's case file with 0001/SMI. The first part of the series tracks the page number, while the second element remains constant and represents the client's last name.

Insert cursor into the “Right Footer Text” box and then click on “Insert Bates Number”. Add an alpha prefix and specify the number of digits you want. Click Ok. Adobe's coding will be inserted in the “Right Footer Text” box and you will see a preview of your Bates number.

Bates numbering is a method of sequentially numbering pages with a reference identifier to make them easier to locate and reference. This could be as simple as sequential numbers like “0001” and “0002,” or it may include alphanumeric strings (such as “ABC_0001” and “ABC_0002”).
