The statement of work (SOW) is a legally binding document that captures and defines all the work management aspects of your project. You'll note the activities, deliverables and timetable for the project.

Who writes the statement of work? Like most project management documents, SoWs are best written collaboratively. However, there are two main parties involved: the client or service provider and the company. SoWs need to be approved by two parties before work on your project really begins.

The Statement of Work (SOW) is an important tool used internally or externally to govern project activities performed by vendors or by departments within the organization. It is also legally binding and must be approved by the project's client before work can commence.

Whether the SOW is written by the government or the contractor (or some combination of both), it is a key element of a contract. After the contract award, requirements in the SOW (and associated specifications) constitute the standard and discipline for the contractor's effort.

Deliverables: [Clearly state the deliverables, or the products or services that will result from the project. Then outline major milestones, such as the project start, deliverable reviews and testing.] Payment Terms: [Discuss the payment for the work outlined in the scope.

Without a scope of work document, project stakeholders might have unrealistic expectations about a project, such as assuming certain tasks and deliverables will be done. Therefore, it's important for project managers and project teams to make sure there's a scope of work that lets stakeholders know what to expect.

Each project requires a unique SOW that outlines the specifics of that engagement. That said, almost all SOWs will include seven elements: the Scope of Work, deliverables, time and resources, payment terms, client services, changes, and terms and conditions.

The business person/team closest to the deal should be responsible for the first pass (whether drafting or reviewing). After all, they understand the ins and outs of the project better than anyone else. It is important not to make assumptions, use shortcuts or acronyms, or even gloss over steps in the SOW.
