What is an invoice? An invoice is a demand for payment (delivered either electronically or physically) that's sent by the seller after the sale of goods/services has been completed, but before payment has been made. In essence, invoices are used to ensure that your business gets paid.

An invoice is an itemized commercial document that records the products or services delivered to the customer, the total amount due, and the preferred payment method. The seller can send either paper or electronic invoices to the customer.

What information needs to be on an invoice? The title “Invoice” clearly displayed. You and your customers' full name and address. The invoice date. The payment due date. A unique invoice number. A description of the products or services sold. The quantity and price of each product/service.

Invoice Naming Conventions. The name of your invoice (that is, the subject name and/or the file name) should be a summary of the invoice details that make finding the invoice as simple as possible. Keep in mind that the invoice name may be different than the subject of the invoice.

On account could refer to “payment on account” in which payment is made against a certain customer's account without any reference to a specific invoice. Payments on account are often made for purchases on account where the customer has not yet received a bill or invoice.
