Proforma invoices are not legally binding and are not counted as official sales in your accounting department. Traditional invoices confirm a purchase or sale, whereas proforma invoices are just a way to establish the terms of the sale.

A proforma invoice includes a description of the goods, the total payable amount and other details about the transaction. It is essentially a "good faith" agreement between you (the seller) and a customer so the buyer knows what to expect ahead of time.

A proforma invoice should not have an invoice number. Invoice numbers are reserved for completed invoices. Once a proforma invoice is finalised, the completed invoice should follow your invoice number sequence. The issue date of the proforma invoice doesn't need to match the date of the finalised invoice.

The proforma invoice is used to create a sale, not to generate payment for a sale (the commercial invoice is used for payment purposes).Once the final proforma invoice is accepted by the buyer, it should be signed by the authorized buyer/importer and returned to the exporter.

Like a regular invoice, proforma invoices should include contact details, a date of issue, a description of the goods or services provided, the total amount due, and any VAT. They might also include payment terms such as which methods of payment you accept and when payment is expected.

Invoice numbers are unique identification numbers assigned to invoices. In the UK, there is no legal requirement for how you should format your invoice numbers. However, it is required that your invoice numbers follow a sequence and do not include any repeats or gaps.

Choose Custom Form Styles. At the upper right corner, click the drop-down for New Style, and select Estimate. On the Content tab, change Estimate to Proforma Invoice. Click Done.
