On 4 August 2023, the President of the Republic of Poland signed the Act amending tax on goods and services, including mandatory use of e-invoices. All businesses established in Poland, including SMEs, must adopt the KSeF system.

Invoices must contain at least the following basic information: Date of issuance. A unique, sequential number. VAT number of the supplier. Full address of the supplier and customer. Full description of the goods or services provided. Details of quantities of goods supplied and extent of services provided.

KSeF National e-invoicing System voluntary launched 2022; mandatory from 1 July 2024 following EU approval. Poland's Ministry of Finance has introduced voluntary B2B electronic invoices on 1 January 2022 after a delay from 1 October 2021.

The Polish VAT Act requires that an invoice be issued in two copies, one of which is forwarded to the customer. The invoice must be raised no earlier than 30 days, prior to the date of delivery of the goods or services and no later than 15 days, after the month for which the goods or services were delivered.

Include what your customers need to see. A unique invoice number. The date the cleaning service was performed. A description of the areas cleaned and the type of cleaning done. The date of the invoice. The amount payable. The payment due date. Payment terms and payment instructions. The last payment amount and date.

Invoice Naming Conventions. The name of your invoice (that is, the subject name and/or the file name) should be a summary of the invoice details that make finding the invoice as simple as possible. Keep in mind that the invoice name may be different than the subject of the invoice.
