A conditional mail merge combines a set of simple merge documents with one data file; one or more conditional statements route each record in your data file to the appropriate merge letter. Select File, New from the menu bar. Select Blank and click OK. Select Tools, Mail Merge from the menu bar.

Add individual merge fieldsClick or tap where you want the merge field.Choose the down-arrow under Insert Merge Field, and select a field.If you don't see your field name in the list, choose Insert Merge Field.Choose Database Fields to see the list of fields that are in your data source.Choose Insert.

Make sure: Column names in your spreadsheet match the field names you want to insert in your mail merge.The Excel spreadsheet to be used in the mail merge is stored on your local machine. Changes or additions to your spreadsheet are completed before it's connected to your mail merge document in Word.

When entering the IF function, format the true text and false text as you want them to appear. This could be a different colour, bold, underlined, larger. Whatever you need.

Click Insert Word Field and select If...then...else. A screen appears allowing you to select the field you want to evaluate. Select the field name from the Field name list that corresponds to the data field on your Control Report that will be used to create the conditional statements.

The curly brackets represent field braces, which you must insert by pressing Ctrl+F9 (you can't type them).Press CTRL+F9.Type IF.Press CTRL+F9.Type "MERGEFIELD" and the name of the field.Go outside the inner brackets.Type the operator and the comparative.Then the true and false options quoted.

Place your cursor where you want the conditional text to go. Go to Mailings > Rules > If...Then... Else. In the Field name list choose the field from your data source that will determine the conditional text.
