On the MAILINGS tab, click Start Mail Merge and Step-by-Step Mail Merge Wizard. Select the type of document you want to add mail merge to, and click Next. Here you can start a new document from a template or existing document. Since our document is already open, we'll select Use the current document.

Open the Mail Merge dialog in Outlook: Simplified Ribbon (Microsoft 365) Home-> press the ellipsis (2026) button on the right-> button Mail Merge2026 Classic Ribbon. Home-> option group: Actions-> button Mail Merge.

Go to Mailings > Insert Merge Field, and then choose the fields to add. In your main document, select Drag fields into this box or type text, and click or tap the text to remove it. Add and format the fields you want to be included in the email message, and choose OK.

Mail merge lets you create a batch of documents that are personalized for each recipient. For example, a form letter might be personalized to address each recipient by name. A data source, like a list, spreadsheet, or database, is associated with the document.

Although your Outlook client will act like it has sent the messages, it will actually send the emails out in batches of 30 a minute, so you must leave your Outlook client online until all messages are in the sent items, and not the outbox. Therefore a mail merge to 300 people should take about 10 minutes to complete.

Normally, when you send a bulk email using the mail merge, it will only show one sent message in your sent folder. If you will open that particular email from your sent folder, you will see those email addresses in the "To" field.

After typing the message, insert the merge fields by clicking on the "More Fields" button and selecting "Insert Merge Field." You can then choose from a list of available merge fields, such as First Name, Last Name, Email Address and more. Once you have inserted all of the merge fields, it's time to send the email!
